Job Summary:
We are seeking a detail-oriented and organized Sales and Administrative Support Officer to join our team. This role involves managing customer quotations, responding to inquiries, coordinating with customers, preparing tenders, maintaining organized filing systems, and supporting basic accounting tasks. Proficiency in Microsoft Office (Excel, Word, and Outlook) is essential. The ideal candidate will have strong communication skills, excellent attention to detail, and a foundational understanding of accounting principles.
Key Responsibilities:
• Quotation Preparation: Prepare accurate and competitive quotations for customers, ensuring that all relevant details are included and the pricing is aligned with company guidelines.
• Customer Liaison: Respond to customer inquiries in a timely and professional manner, maintaining positive relationships and clear communication throughout the sales process.
• Tender Management: Assist in the preparation of tender documents, including gathering necessary information, completing forms, and ensuring all requirements are met.
• Document Filing and Organization: Maintain an efficient filing system for all documents related to customer communications, quotations, tenders, and accounting records.
• Basic Accounting Support: Perform basic accounting tasks such as invoice tracking, recording transactions, and maintaining accurate records of sales and expenses.
• Microsoft Office Proficiency: Use Excel for data analysis and record-keeping, Word for document creation, and Outlook for communication. Ensure all documents are created and formatted professionally.
