Job Summary
The Reservation and Dispatch Specialist is a key member of our team, responsible for ensuring seamless service delivery to our customers by managing reservations, scheduling chauffeurs, and coordinating dispatch operations. This position requires excellent communication skills, strong attention to detail, and the ability to thrive in a fast-paced environment. As the primary point of contact for clients and drivers, the Specialist plays a crucial role in maintaining operational efficiency and customer satisfaction.
Key Responsibilities
Reservation Management:
Handle incoming reservations via phone, email, and online booking platforms.
Accurately input and update reservation details in the company’s software system.
Provide clients with accurate pricing, availability, and service information.
Confirm reservations and communicate necessary details to clients promptly.
Dispatch Coordination:
Assign chauffeurs and vehicles to scheduled reservations based on availability, proximity, and customer requirements.
Monitor and adjust schedules to accommodate last-minute changes or delays.
Coordinate with chauffeurs to ensure timely pickups and drop-offs.
Maintain real-time communication with drivers, providing updates on traffic, route changes, or client-specific requests.
Customer Support:
Address customer inquiries, concerns, and special requests with professionalism and efficiency.
Act as a liaison between clients and chauffeurs to resolve issues promptly.
Provide post-trip follow-ups to ensure customer satisfaction.
Administrative Duties:
Maintain accurate records of reservations, dispatch logs, and client interactions.
Generate daily, weekly, and monthly operational reports as needed.
Assist in vehicle and driver scheduling to ensure compliance with company policies and regulations.
Qualifications and Skills:
High school diploma or equivalent (Bachelor's degree preferred).
2+ years of experience in customer service, dispatch, or reservations (experience in the transportation or hospitality industry is a plus).
Proficiency in dispatch and reservation software systems.
Strong organizational skills and the ability to multitask under pressure.
Excellent verbal and written communication skills.
Problem-solving mindset with the ability to think quickly and adapt to changing circumstances.
Familiarity with local geography and traffic patterns is preferred.
Work Environment and Schedule:
Must be able to work flexible hours, including evenings, weekends, and holidays as needed.
Office-based role with occasional remote work, depending on business needs.
