Remote Administrative Assistant
Overview:
We are a Canada-based company seeking a Remote Administrative Assistant to provide full-time administrative support. The role is fully remote, with working hours from 9:00 AM to 5:00 PM EST. Key Responsibilities:
• Administrative Support:
• Manage and organize virtual office operations, procedures, and administrative systems.
• Maintain and update digital records, files, and databases, ensuring accuracy and confidentiality.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Handle and manage digital mail, emails, and phone calls professionally.
• Calendar and Schedule Management:
• Schedule and coordinate virtual meetings, appointments, and events.
• Manage team calendars and resolve scheduling conflicts.
• Communication Coordination:
• Serve as a point of contact between internal teams and external stakeholders.
• Screen, prioritize, and respond to inquiries and requests.
• Remote Office Operations:
• Monitor and manage digital tools and resources required for efficient operations.
• Liaise with remote vendors, service providers, and contractors when necessary.
• Support for Team Projects:
• Assist in coordinating and tracking virtual project timelines, deliverables, and deadlines.
• Compile data for reports and presentations.
• Other Duties:
• Handle special projects and ad hoc tasks as assigned by management.
• Provide virtual support during company events, meetings, and training sessions.
Qualifications:
• Proven experience as an administrative assistant, office assistant, or in a similar remote role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Familiarity with remote collaboration tools like Microsoft Teams, Zoom, Slack, and project management software (e. g. , Asana, Trello).
• Strong organizational and time-management skills with attention to detail.
• Excellent written and verbal communication abilities.
• Ability to handle multiple tasks and prioritize effectively in a remote, fast-paced environment.
• Professional demeanor and ability to maintain confidentiality.
• High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
Preferred Skills:
• Experience with scheduling tools and office management software.
• Basic knowledge of bookkeeping or accounting practices.
• Familiarity with customer relationship management (CRM) systems.
