Working Knowledge of MS OFFICE is a must and important along with English communication skills.
Administrative Support: Provide general administrative support to the office, including answering phones, managing emails, and handling correspondence.
Filing and Record-Keeping: Maintain organized filing systems and ensure that records and documents are properly archived and easily retrievable.
Scheduling: Schedule appointments, meetings, and conference calls for staff members and executives, and manage calendars.
Data Entry: Accurately input and update data in spreadsheets, databases, and other systems as needed.
Office Supplies: Monitor and replenish office supplies, such as paper, pens, and other materials.
Reception: Greet and assist visitors, direct them to the appropriate personnel or department, and handle inquiries.
Mail Handling: Sort and distribute incoming mail, as well as prepare outgoing mail and packages.
Document Preparation: Assist in the creation and formatting of documents, reports, and presentations.
Office Maintenance: Ensure that the office is clean, organized, and in good working order, and report any maintenance issues.
Meeting Support: Set up meeting rooms, arrange for audiovisual equipment, and provide support during meetings as required.
Travel Arrangements: Make travel arrangements for employees, including booking flights, accommodations, and transportation.
Expense Reporting: Assist with the preparation and processing of expense reports.
Customer Service: Assist in providing excellent customer service by addressing inquiries and resolving issues.
Special Projects: Contribute to special projects or tasks as assigned by management.
Confidentiality: Maintain the confidentiality of sensitive information and company data.
Communication: Facilitate communication within the office and between employees and other departments.
Multitasking: Handle multiple tasks and responsibilities efficiently and prioritize them as needed.
Software Proficiency: Use office software and tools, such as word processing, spreadsheet, and presentation software, as well as email and scheduling programs.
Adaptability: Be flexible and willing to take on new tasks and responsibilities as the needs of the office evolve.
