Job Title: Administrative Assistant Job Summary: We are seeking a highly organized, detail-oriented, and tech-savvy Administrative Assistant to provide administrative support for our business operations. The successful candidate will be responsible for a range of administrative tasks, including filing, invoice processing, timekeeping, credit control, and data entry. Key Responsibilities: - Maintain accurate and up-to-date filing systems, both physical and digital, ensuring compliance with company policies and procedures. - Process invoices and ensure timely payment, including verifying invoice details, obtaining approvals, and processing payments. - Manage timekeeping records, ensuring accuracy and compliance with company policies. - Perform credit control duties, including chasing overdue payments, sending reminders, and negotiating payment plans. - Enter data accurately and efficiently into our database, ensuring data integrity and compliance with company policies. - Provide general administrative support to the team, including answering phone calls, responding to emails, and performing other administrative tasks as needed. - Develop and implement effective administrative processes and procedures to improve efficiency and productivity. - Maintain confidentiality and handle sensitive information with discretion. Requirements: - Must be local to DHA Phase 1 - 2+ years of experience in an administrative role, preferably in a fast-paced business environment. - High school diploma or equivalent required; post-secondary education in business administration or a related field an asset. - Proficient in Microsoft Office, including Word, Excel, Outlook, and PowerPoint. - Excellent communication, organizational, and time management skills. - Ability to work independently and as part of a team. - Strong attention to detail and ability to maintain accuracy in a fast-paced environment.
